Privacy Policy

Effective October 24, 2026

This policy explains how Eric Barrett, doing business as Lake Association Office (“we”), based in Sartell, Minnesota, handles personal information. It covers people who use our website or work with us, and information we handle for lake associations that hire us.

Our website and business

We collect what you give us through our forms (name, email, phone if given, lake, association and your message) and basic customer and billing details. Our website host records standard technical information, such as IP address, browser and pages viewed, to run and protect the site. This static site does not load third-party analytics. A banner lets you accept or reject optional analytics, and that choice is stored in your browser so we remember it. If optional analytics are added later, they will load only after you accept. You can choose “Reject optional” at any time and the site still works. We use this information to reply to you, prepare a Free Lake Snapshot you request, provide and bill for our services, send our newsletter if you signed up, and meet legal and tax obligations. We invoice by check or ACH and never store card or bank numbers. You can unsubscribe from our emails at any time, and we honor requests within 10 business days.

Information we handle for lake associations

We handle member information on behalf of, and according to the instructions of, the association that hires us, such as names, addresses, emails, phone numbers, dues status, board records and minutes. We use it only to provide the services the association requested, keep our systems secure and keep required business records. We never use it for our own marketing. A board member approves documents before they are sent to members. We ask associations not to send Social Security numbers, bank or card numbers, or information about minors. Newsletters and reminders we send are your association’s messages, so to stop them or change your details, contact your association, and we’ll help.

We never sell personal information. We share it only with the service providers who help us do the work (website hosting, email, cloud storage and AI writing tools) or when the law requires it.

AI tools

We use AI tools to help draft documents. A person reviews every draft, and the association’s board approves it before anything is sent. We give AI tools only the information a task needs.

Keeping and deleting information

We keep association information while we work together. When an association leaves, we send an export on request and delete its information from our active systems within 30 days. We keep only invoices, the contract, and a list of addresses that asked not to be contacted, for as long as tax and legal rules require.

Security

We use reasonable safeguards, including two-factor sign-in and limited access. No system is perfectly secure. If an incident affects an association’s information, we will notify the association without unreasonable delay, and as Minnesota law requires.

Your choices

Association members should contact their association first for access, corrections or deletion, and we’ll help. Website visitors and customers can email us directly. Our website is for adults and is not directed to children under 13.

Changes and contact

We’ll post changes here and update the date above, and we’ll email our customers before any major change.
